Our Policies
Dynamic Dollz of Tyler is committed to providing a safe, positive, and encouraging environment where young dancers can develop their skills, build confidence, and grow through teamwork. The following policies and procedures establish clear expectations for dancers, parents, guardians, coaches, and team supporters.1. Registration and EnrollmentAll dancers must complete a registration form before participating in team activities. A parent or legal guardian must provide accurate contact information, emergency contacts, relevant medical information, and any required consent forms.Enrollment may depend on age eligibility, available team openings, attendance commitments, and completion of applicable registration requirements.2. Fees and PaymentsFamilies are responsible for paying all registration fees, membership dues, uniform costs, competition fees, and other applicable expenses by the stated deadlines.Payment amounts, schedules, and accepted methods will be communicated to families.Late payments may result in additional fees or temporary suspension from practices and performances.Fees are generally nonrefundable unless otherwise stated in writing.Families experiencing financial difficulties should contact team leadership promptly to discuss available options.
3. Attendance and PunctualityConsistent attendance is necessary for team development, choreography, and performance preparation.Dancers should attend all scheduled practices, rehearsals, performances, and mandatory meetings.Dancers should arrive on time and remain for the full scheduled activity.A parent or guardian should notify the coach as soon as possible if a dancer will be absent or late.Repeated unexcused absences or tardiness may affect performance eligibility or team membership.Dancers who miss important rehearsals may be required to sit out an upcoming performance.4. Practice ExpectationsDancers must arrive ready to participate and follow all instructions from coaches and team leaders.Wear appropriate dance attire and approved footwear.Bring water and any required practice equipment.Keep personal belongings organized and secure.Avoid excessive phone use or other distractions during practice.Follow safety instructions and practice choreography responsibly.Show respect for teammates, coaches, facilities, and equipment.5. Dress Code and UniformsDancers must wear the required practice attire, performance uniforms, and accessories designated by team leadership. Uniforms should be clean, properly fitted, and maintained in good condition. Hair, makeup, and accessories for performances must follow team guidelines.Families are responsible for replacing lost or damaged personal uniform items unless otherwise determined by team leadership. Borrowed team property must be returned upon request or when a dancer leaves the organization.6. Code of ConductDynamic Dollz of Tyler expects dancers, parents, guardians, coaches, and supporters to demonstrate respectful behavior at all times.The following behaviors are not permitted:Bullying, harassment, discrimination, or intimidation.Fighting, threats, profanity, or aggressive behavior.Disrespect toward coaches, teammates, parents, event staff, or other teams.Gossip, inappropriate social media posts, or sharing private team matters publicly.Theft, vandalism, or intentional damage to property.Possession or use of illegal substances, alcohol, weapons, or other prohibited items at team activities.
Violations may result in a warning, parent conference, suspension, removal from an event, or dismissal from the team.7. Parent and Guardian ResponsibilitiesParents and guardians play an important role in maintaining a positive team environment.Parents and guardians are expected to:Ensure dancers arrive on time and are picked up promptly.Keep contact and emergency information current.Support coaches and respect coaching decisions.Encourage positive behavior, teamwork, and good sportsmanship.Communicate concerns privately and respectfully with team leadership.Pay required fees by the applicable deadlines.Avoid interrupting practices, confronting other families, or creating disruptions at events.Repeated failure to meet these expectations may affect a dancer’s participation.8. Communication ProceduresOfficial team updates will be shared through designated communication channels, which may include text messages, email, phone calls, or an approved team communication app.Parents and guardians are responsible for reviewing announcements regarding practices, schedule changes, fees, performances, and special events.Questions and concerns should be directed to the appropriate coach or team representative. Matters involving another dancer should be addressed through team leadership rather than through direct confrontation.9. Health and SafetyParents and guardians must disclose relevant medical conditions, allergies, injuries, physical limitations, and emergency medications before a dancer participates.Dancers should stay home when they have symptoms of a contagious illness or are physically unable to participate safely.Injuries or changes in a dancer’s medical condition must be reported promptly.Coaches may modify activities or request medical clearance before allowing a dancer to return.Families are responsible for ensuring dancers have necessary medications and medical supplies available when appropriate.In an emergency, team leadership may contact emergency services and notify the parent or guardian as soon as possible.10. Supervision and Child ProtectionThe safety and well-being of every dancer are priorities.Dancers must remain in designated practice and event areas unless given permission to leave.Only authorized adults may pick up a dancer.Parents and guardians must notify team leadership of any custody restrictions or changes to approved pickup arrangements.Coaches and volunteers are expected to maintain appropriate professional boundaries.Suspected abuse, neglect, exploitation, or unsafe behavior should be reported immediately to team leadership and, when applicable, the appropriate authorities.11. Drop-Off and Pickup ProceduresDancers should arrive no earlier than the designated drop-off time unless other arrangements have been approved. Parents and guardians must pick up dancers promptly when practices, performances, or events end. Any person picking up a dancer should be listed as an authorized contact or approved in advance by the parent or guardian.Repeated late pickups may result in additional fees or other participation restrictions.12. Performances and CompetitionsParticipation in performances and competitions may depend on attendance, preparation, behavior, payment status, and coaching decisions.Dancers must:Arrive by the designated call time.Wear the complete required uniform and accessories.Follow instructions from coaches and event personnel.Represent Dynamic Dollz of Tyler with professionalism and good sportsmanship.Remain with the team until formally dismissed.Performance positions, choreography assignments, and participation decisions are determined by team leadership.13. Travel and TransportationParents and guardians are generally responsible for providing or arranging transportation to practices, performances, competitions, and other team events unless the organization provides written notice of an alternative arrangement.For events involving organized transportation or overnight travel:Additional permission forms may be required.Families will receive details regarding schedules, accommodations, supervision, and applicable costs.Dancers must follow all travel rules and remain with assigned chaperones.Any transportation or travel concerns should be communicated to team leadership before the event.14. Photography, Video, and Social MediaPhotos and videos may be taken during practices, performances, competitions, and community events for promotional, educational, or team-related purposes.Parents or guardians must indicate their media preferences on the appropriate consent form. Team leadership will make reasonable efforts to respect documented restrictions.Families should not post content that humiliates, threatens, or misrepresents another dancer. Photos or videos of other children should not be shared in ways that violate a parent’s stated preferences or team rules.15. Fundraising and Community EventsDynamic Dollz of Tyler may organize fundraising activities, sponsorship opportunities, volunteer projects, and community appearances to support team expenses and promote community involvement.Expectations for participation, financial responsibilities, and deadlines will be communicated in advance. Funds collected on behalf of the organization must be handled honestly and submitted according to team procedures.16. Discipline and Corrective ActionTeam leadership may address policy violations using corrective actions appropriate to the circumstances, including:Verbal reminder or warning.Written notice to the parent or guardian.Parent or guardian conference.Temporary suspension from practice, performances, or team activities.Dismissal from the team.Serious misconduct may result in immediate suspension or dismissal without prior warnings. Coaching decisions will consider safety, team morale, the severity of the incident, and whether the behavior is repeated.17. Grievances and Conflict ResolutionConcerns should be brought directly to the coach, director, or designated team representative in a respectful and timely manner.If a concern cannot be resolved through an initial conversation, a parent or guardian may request a private meeting with team leadership. All parties are expected to maintain confidentiality and avoid discussing sensitive matters publicly or on social media.18. Withdrawal and TerminationParents or guardians should provide written notice if a dancer plans to withdraw from the team.Outstanding balances may remain due after withdrawal, depending on the terms communicated at registration. Uniforms, equipment, and other team-owned materials must be returned promptly.Dynamic Dollz of Tyler reserves the right to discontinue a dancer’s membership when continued participation presents safety concerns, disrupts team operations, or involves repeated violations of team policies.19. Policy UpdatesDynamic Dollz of Tyler may revise these policies and procedures as needed. Families will be notified of significant changes through the team’s official communication channels.
